Terms and Conditions
By scheduling a session or purchasing a package, assessment, or training with Dr Kay Capaldi, you agree to the following terms and conditions.
1. Counselling, Psychotherapy, Couples Therapy, and Coaching Packages
Validity:
Individual Session: Valid for 2 months from the date of purchase.
Short-Term Protocol (6 Sessions): Valid for 6 months from the date of purchase.
Medium-Term Protocol (12 Sessions): Valid for 12 months from the date of purchase.
Rescheduling, Cancellation, & Refund Policy:
Online Sessions: Require at least 24 hours’ notice to reschedule or cancel.
In-Person Sessions: Require at least 48 hours’ notice to reschedule or cancel.
Late Cancellations or Rescheduling: Sessions cancelled or rescheduled with less notice will be charged in full and considered as attended.
Refund Policy: All sessions and packages are non-refundable. Please note that pre-paid packages, such as 6-week or 12-week programmes, are non-refundable, regardless of whether the full duration is completed.
2. Psychological Well-Being Assessment
Validity:
Psychological Well-Being Assessments are valid for 2 months from the purchase date and include the following:
Self-Relationship Questionnaire and Negative Self-Treatment Screening
Personalised Therapeutic Goals Questionnaire
Measures of Psychological Well-Being
Rescheduling, Cancellation, & Refund Policy:
Online Assessments: Require at least 24 hours’ notice to reschedule or cancel.
In-Person Assessments: Require at least 48 hours’ notice to reschedule or cancel.
Late Cancellations or Rescheduling: Assessments cancelled or rescheduled with less notice will incur the full charge and be considered as completed.
Refund Policy: All assessment packages are non-refundable once purchased or once access to materials has been granted, regardless of whether the assessment is completed.
Access & Usage Policy:
Access Duration: Access to materials is granted for the duration specified from the purchase date.
Non-Transferable: For individual use only; content may not be recorded, reproduced, shared, or redistributed.
Technical Requirements: Clients are responsible for ensuring they have the necessary technology.
3. In-Person Training, Workshops, & Events
Validity & Rescheduling:
Available programmes include:
Self-Relationship Training
Psychotherapy Training & Core Relational Topics
Workplace Training
Rescheduling & Cancellation Policies:
Up to 1 Month Before Start Date: Full refund.
Within 2 Weeks of Start Date: 50% of the fee is due.
Within 1 Week of Start Date: 100% of the fee is due.
In emergencies, rescheduling of training, workshops, and events may be considered at Dr Capaldi’s discretion, with a minimum of 48 hours’ notice. Examples of emergencies include:
Medical Emergencies: Sudden severe illness, hospitalisation, or medical treatment that prevents attendance.
Bereavement: The unexpected death of a close family member.
Severe Weather: Experiencing severe weather conditions that prevent attendance.
These situations will be considered on a case-by-case basis, with appropriate supporting documentation required if applicable.
Travel & Accommodation:
Clients are responsible for any non-refundable fees from third-party travel or accommodation providers in the event of cancellation.
Refund Policy:
All training, workshops, and events are non-refundable, except as specified above.
4. Prerecorded Training, Workshops, & Events
Validity & Rescheduling:

Access & Usage Policy:
Access Duration: Access to content is granted for the duration specified from the purchase date.
Non-Transferable: For individual use only; content may not be recorded, reproduced, shared, or redistributed.

Refund Policy:
Non-refundable once purchased or access has been granted, except for:
Duplicate Purchases: Refunds may be issued.
Defective Content: Issues must be reported and evidenced within 7 days.
Cancellation Policy: Not applicable; prerecorded sessions are accessible immediately upon purchase.
Intellectual Property:
All content remains the property of Dr Kay Capaldi. Unauthorised distribution or commercial use is prohibited.
5. Counselling, Psychotherapy, Couples Therapy, and Coaching Services
These terms apply to all services provided by Dr Kay Capaldi, a member of the British Association for Counselling and Psychotherapy (MBACP). All services adhere to the BACP Code of Ethics and Professional Practice.
Service Descriptions:
Counselling & Psychotherapy: Offers a confidential, supportive environment to enhance emotional well-being and develop effective coping strategies.
Couples Therapy: Creates a confidential, supportive space to improve communication and resolve relational challenges with expert guidance.
Coaching: Facilitates collaborative goal-setting to unlock personal and professional potential.
Commencement of Client Engagement:
Services begin upon the first session or full payment, whichever comes first.
Therapist-Client Relationship:
This relationship is bound by the BACP Ethical Framework, available at BACP Ethical Framework.
Client Responsibility:
Clients are responsible for their own well-being, decisions, and actions resulting from sessions.
6. Confidentiality
Protecting your confidentiality is a cornerstone of our services, maintained by following stringent privacy laws and ethical guidelines. However, there are specific limits to confidentiality:
Confidentiality Limits:
Risk of Harm: If there is a risk of imminent harm to oneself or others, disclosures may be made to ensure safety.
Safeguarding: Therapists are legally obligated to report any abuse, neglect, or exploitation of children and vulnerable individuals.
Legal Requirements: Confidentiality may be breached if mandated by law or court order, including cases involving money laundering, trafficking, or terrorism.
Professional Supervision: To maintain high standards and accountability, client cases may be discussed with a personal supervisor. Identifying details are excluded to protect client anonymity.
Client Consent: Information may be shared with third parties only with the client’s explicit consent.
Beyond these circumstances, your personal information remains strictly confidential.
Confidentiality for Joint Sessions:
Confidentiality and its limits apply to joint sessions (e.g., couples, family). However, information shared in individual sessions may require consent for disclosure if deemed relevant to the joint therapy process.
Post-Death Confidentiality:
Confidentiality obligations extend beyond the client’s life.
Acknowledgment:
By engaging in these services, clients agree to the terms of confidentiality and all other applicable conditions.
7. Additional Service Information
Payment, Rescheduling & Cancellation Policy:
Payment must be made in advance for each session, assessment, or training programme, either by credit or debit card, or via bank transfer. All payments are non-refundable, irrespective of whether the session, assessment, or training is attended, unless otherwise stated in the service rescheduling or cancellation policies.
There is no obligation to commit to a fixed number of sessions, and you may choose to end treatment at any time. However, any pre-paid packages, including 6-week or 12-week programmes, are non-refundable, regardless of whether the full duration is completed.
Funding Options:
Self-Funding Clients: Payment in advance by credit/debit card or bank transfer.
Private Health Insurance: Coming soon.
Third-Party Funding: Accepted from employers or solicitors.
Session Structure:
Each session lasts 50 minutes, followed by an additional 5 minutes to arrange a follow-up and schedule the next session. Weekly appointments are recommended for optimal progress.
Therapist Approach:
Sessions are client-led, fostering a safe, empathic, and non-judgmental space for exploration and self-reflection. Rather than offering advice or solutions, the therapist supports clients in uncovering their own insights and determining their way forward. Light exercises may be recommended between sessions, if deemed helpful.
Initial and Ongoing Treatment:
After the initial session, your therapist will discuss a tailored treatment plan and may provide an estimated number of sessions based on individual needs and preferences.
8. Psychological Support and Crisis Guidance
Dr Kay Capaldi does not offer emergency or out-of-hours psychological support services. The programmes and services provided are designed to support personal growth and well-being but are not a substitute for emergency psychological care. If you experience emergency or out-of-hours distress, trauma, or other challenging emotions while engaging with the services, please prioritise your well-being by taking the following steps:

If additional support is required and you are not already receiving it, seeking help from a qualified psychotherapist can provide a safe and structured space in which to explore and manage your experiences.
By engaging with our programmes and services, you acknowledge that they do not replace crisis intervention or emergency mental health treatment. Taking proactive steps to seek appropriate support is a valuable part of your well-being journey.
